Exhibitor Registration Information

    2006 AMBA 6th Annual National Medical Billing Conference

     

    You are invited to participate as a professional exhibitor at our 6th Annual National Conference at Adams Mark Hotel and Conference Center in Dallas, Texas. We expect to have around 150 attendees.

    The conference is scheduled for two days – October 19th and 20th, 2006. There will be a social event on the evening of the 19th where all exhibitors are encouraged to attend. Exhibitor participation is limited due to space availability.

    Exhibitors are encouraged to participate in our Medical Money Madness Auction. Each attendee that visits the participating exhibitors booths will be eligible to earn Money Madness Auction bucks to use for bidding on special prizes and gifts. The auction will be held during lunch on October 20, 2006. If you would like to contribute a prize from your company for the auction, please let us know. Exhibitor contributions will be noted on our website and in all conference information, brochures and newsletters.

    If you would like to give away your own gifts through a drawing, we have set aside time for you to present your gift on October 20, 2006 at 4:30 pm.

     

    Exhibitors will be allowed to set up on October 19th, 2006 from 6:00 am to 8:00 am. Special times have been set aside specifically to introduce exhibitors to our members during our social event on October 19, 2006 as well as specific times throughout the conference for our members to visit personally with exhibitors.

    Exhibitors are asked not to break-down until after 4:30 pm on October 20, 2006.

    Exhibitor must pay an additional fee for each additional company representative.

    A company representative must be at your table at all times when the exhibit hall is open. Exhibitors may offer goods and services within their booth space only. Exhibitors are bound by local and state laws. Promotional prizes and/or drawings are encouraged.

     

    Exhibitors will be assigned in the order that signed contracts and deposits are received. Cost is $1,000 per table. Rates increase to $1,250 for all applications postmarked after July 31, 2006.

     

    A deposit of $500 per exhibitor is required to reserve your space. The balance must be postmarked no later than August 15, 2006. Payment may be made by check or credit card.

     

    Cancellation requests must be received in writing no later than July 15, 2006 and are subject to a $400 cancellation fee per table. No refunds will be issued after July 15, 2006.

     

    All exhibits must be ready for display by 8:00 am on Thursday, October 19, 2006. Setting up, tearing down and removal of exhibits are exhibitor’s responsibility. If the exhibitor fails to remove the exhibit, AMBA will arrange removal at the exhibitor’s expense. Exhibitor is responsible for all shipping of boxes to and from event. AMBA accepts no liability for exhibitor boxes left in or around the exhibit hall or conference area.

     

    If a telephone line is required, the exhibitor must contact Larry Weston or call our office at 580 622-2624. The following charges apply:

    Phone Line - $100 installation (one time fee) and $50 per day, per line
    High Speed Internet Access - $100 installataion (one time fee) and $250 per day

    Exhibitors may not distribute purchased products during the conference. You may accept orders for products, but you may not distribute products. All products must be distributed from Exhibitor’s own office location after the conference.

     

    All packages shipped by Exhibitor must be addressed as follows:

    Due to limited storage space, packages held by the hotel for more than three (3) days may incur a storage fee. There will be a handling fee of $5.00 to $20.00 per box, depending upon the weight and pallets are $55.00

    Do not send C.O.D. packages

    Note: ALL packages should be properly sealed, clearly labeled and any outside carriers needed to transport items must be notified prior to your departure from the hotel. AMBA is not responsible for shipping your boxes back to your office. The hotel may charge a fee to hold your packages for departure after the conference if held for more than 3 days.


    The loading dock will notify you of package arrivals on your room phone, but can be delivered to the conference area by a Bellman upon request.

     

    Exhibitor hereby covenants and agrees to save and hold the American Medical Billing Association, (AMBA), the Adams Mark Hotel, Dallas (“Hotel”), subsidiaries, affiliates, officers, directors, shareholders and employees free clear and harmless from any and all liability, lost, costs, expenses (including attorney’s fees), judgments, claims and demands of any kind whatsoever in connection with, arising out of or by reason of any act, omission, or negligence of Exhibitor or its respective agents, employees, servants, or contractors in any way connected with or arising out of any accident, injury or damage, whether to person or property, whatsoever, occurring before, at, in, upon, about, after, or in any manner connected with the convention at the Adams Mark Hotel, Dallas in connection with this event. Exhibitor acknowledges that neither the Hotel, hotel operator, nor AMBA maintain insurance covering exhibitor’s property and the exhibitor must obtain business interruption and property damage insurance sufficient to cover any loss sustained by exhibitor.

     

    If AMBA cannot hold the conference due to any cause beyond its control, or if the exhibit hall is uninhabitable due to acts of God during any part or whole of the exhibition, AMBA is not responsible and exhibitor hereby waives any claim against AMBA for losses or damages which may arise from such inability to occupy assigned space. Actual location of exhibitor area is subject to change based on attendee participation.


    Exhibitor space is located next door to the General Session area in Houston Ballroom C, third floor, Convention Center, across the street from the Hotel.

     

    Representatives of Exhibitor are required to stay in the AMBA room block at the Adams Mark Hotel and are required to provide a reservation confirmation number for each representative at the time of exhibitor registration. Exhibitors that do not stay at the Adams Mark Hotel will be charged an additional $400.

    AMBA’s room rate is $141 per night throughout the conference. Free high speed internet access is included in our room rate.

    A great opportunity to establish valuable contacts and relationships with our members. All exhibitors are invited to the social but only sponsors will receive special recognition during the event. Two sponsors will be accepted for this event.

    Sponsoring a refreshment break provides added visibility for your company. Several opportunities available throughout the conference.

     

    AMBA Member of the Year and Awards Luncheon, October 19, 2006 - $1,000

    Members are recognized for their contributions to our association throughout the year. Sponsor will present this year’s “Member of the Year” award and will recieve special recognition through the conference. Additionally, sponsor will be able to introduce their company and speak briefly about the products or services offered during the conference.

     

    Breakout Training Sessions - $150

    Sponsor will introduce the speaker for the training session and your company will gain added recognition. Several breakout sessions to choose from.
